Send the recap
while everyone still cares

3 min readUses Recaps

The short version

  1. 1Send the recap the morning after. Interest drops fast once Monday arrives.
  2. 2Make the recap about your guests. Lead with each guest's own photos and recap, and put your brand second.
  3. 3Build your brand's recap around one moment. The best recaps tell one story well.

Five steps to send it before interest fades

1Step 1 of 5

Book the send time before the event

Recaps go out late when nobody owns them. Put the recap send in the run of show, with a person's name next to it. The morning after, before lunch, is a good default.

Write the message the day before, with gaps for the link and one detail from the day. On the morning you fill in two blanks and press send, sore head or not.

2Step 2 of 5

Lead with the guests' own photos

Every guest has photos of themselves in the album, and everyone who added photos gets their own recap. That's the best thing you can send, because it stars them.

Open the message with the news that their photos are up and their recap is ready. Say thanks second and mention your brand last. Guests who post their recap take your event to their own followers.

Build your own recap around one moment

Your brand will usually post its own recap too. The common mistake is covering everything from arrival to goodbyes, which turns it into a timeline.

Pick the moment people will still talk about next week, like the surprise guest or the cake disaster, and add a couple of supporting shots. Use guest photos where their upload terms allow. Real guest shots look like proof that people had a good time.

Fit the recap to each channel

Email can carry a link, a photo and a few warm sentences. A group chat wants one line and the link. On social, post the moment with a caption a guest would happily share.

Keep the album link in every version. Late photos keep coming for days, and people who see the recap often remember they have more to add.

Nudge once, then let it go

Around day three, send one light note with the link to people who added photos and haven't opened their recap yet.

After that, stop. A second reminder turns a gift into a chore. Write down when you sent and how it went, so next time you start from a message that worked.

Steal this

Three messages for the morning after. Add your link and send.

Morning-after email

“Subject: Your recap from [event] is ready Thanks for coming yesterday! Your recap is ready, starring you: [link] The album's still open if you have more photos to add. See you at the next one.”

For the group chat

“Recaps are ready! Find yours here: [link]. Still got photos on your phone? Add them, the album is open all week.”

Day-three nudge

“Little reminder: your recap from [event] is still here looking great. [link]. That's the last we'll say about it, promise.”

Fair questions

What should an event recap include?

A good recap has one standout moment, a couple of supporting photos, a short thank you and the album link. Send guests their own photos and recap first.

When should I send an event recap?

Send it the morning after, before lunch. After a few days, people have moved on.

Can I use guest photos in my brand recap?

Yes, within what guests agreed to when they uploaded. Check the album's content terms before you post.

Who gets their own recap?

Every guest who added photos gets their own recap of the event, ready to post for their followers.

How many reminders should I send?

Send one reminder, around day three, to people who haven't opened their recap. More than that feels like nagging.
